Administrative Assistant

Job Summary

Performs administrative and office support activities for multiple supervisors. To perform this job successfully, an individual shall be friendly, professional and helpful. He / she shall have knowledge of commonly-used concepts, practices, procedures and equipment within an office setting environment.

Essential Duties & Functions

· Answer multi-line telephone system, take accurate messages and transfer telephone calls to appropriate person/department in an efficient manner

· Handle inquiries from the public and provide general information related to the company

· Manage the front entrance of the office, provide excellent customer service to visitors including but not limited to vendors, customers, job applicants, etc. and direct them to the appropriate party or communicate information in a professional manner

· Maintain key assignment log and visitor log; monitor access of visitors by following company visitation procedures and ensure all visitors are being escorted by company staff at all times

· Process incoming and outgoing mail on a daily basis; sort and distribute all incoming mails & parcels according to appropriate procedures, send mail/packages, apply postage, prepare shipping labels & envelopes, etc

· Prepare travel itineraries, including but not limited to air tickets, hotel accommodations, transportation arrangements, visa applications, passport renewal, etc

· Monitor and order office/janitorial supplies, with proper procedure. Maintain neat supply storage system

· Assist in organizing employee event, company/meeting luncheons and other company events as assigned

· Record appointments on calendar, maintain office conference room schedules, update and distribute contact information as needed

· Record weekly attendance for employees and temporary staff; collect appropriate overtime / time off forms and ensure all forms are properly approved by relevant supervisor

· Maintain neatness of front office, public area, meeting rooms, etc. at all time; contact appropriate maintenance services for preventive maintenance and service on office facility and/or equipment as needed

· Assist on administrative tasks, as well as overflow work from department and management as needed and perform all other clerical duties as assigned

Education and/or Experience

· This position requires at least an associate degree in a related area and/or related training; or equivalent combination of education and experience

· 2-4 years of experience in the administrative field and/or prior secretarial experience helpful
