POSITION SUMMARY

The Senior IT Vendor and Asset Manager will lead the day to day operations of the IT Vendor and IT Asset Management team in close coordination with Corporate Purchasing and senior managers within IT. This function supports the IT leadership team and its customers on matters related to vendor selection, negotiations, contract lifecycle management and ongoing vendor management activities. In addition it is responsible for lifecycle management processes of all IT assets across the corporation. The Senior Manager – IT Vendor and IT Asset Management reports into our Senior Director PMO and is based out of our Fort Mill, South Carolina headquarter office. 

KEY RESPONSIBILITIES

  • Design, implement and support necessary procedures to ensure the organization obtains optimal value from IT vendor partners in alignment with annual savings targets

  • Oversight of a vendor portfolio with a total global spend of over $70M/year

  • Vendor relationship management:

    • Build strong relationships with strategic suppliers

    • Lead vendor relationship management activities engaging appropriate resources within IT, the business and other corporate functions as needed.

    • Assist in organizing vendor events with key stakeholders in order to understand vendor’s product and service direction on a periodic basis

    • Facilitate resolution of disputes

  • Supplier selection and contract management

    • Build relationships with internal stakeholders to understand their needs and provide exceptional ongoing support 

    • Assist IT subject matter experts and Corporate Purchasing with vendor evaluation and selection criteria, procedures and best practices

    • Lead/support cross-functional teams in the execution of RFPs  

    • Lead/support contract negotiation/re-negotiation efforts in close partnership with Corporate Purchasing 

    • Partner with Corporate Purchasing and Legal to negotiate business terms with vendors and partners (large and small) in order to minimize risk, maximize price efficiencies and ensure compliance to company policies.

    • Support PMs and other Key IT stakeholders in the execution of SOWs

    • Support and maintain visibility of the pipeline of proposed work by supplier to ensure that new and renewal agreements or SOWs are executed in a timely manner

  • Monitor vendor performance:

    • Ensure all vendor relationships have measurable service agreements

    • Validate and ensure adherence to SLAs and performance of obligations

    • Conduct regular (monthly/quarterly) vendor reviews

    • Support issue and dispute resolution processes and manage escalations as required

    • Support Corporate Procurement in conducting benchmarking efforts in order to validate the competitiveness of key vendor agreements.

    • Monitors recovery plans for vendors that are not performing satisfactorily

  • Report on vendor spend, performance and opportunities 

    • Prepare and present executive dashboards and reports describing the health and outstanding issues with strategic supplier relationships as part of the IT Leadership operational review meetings

    • Produce KPIs to track vendor and internal team performance (including throughput of new work requests, agreements and SOWs)

    • Prepare and maintain forecasts of annual spending by vendor including new products and services, continuing services, support agreements and maintenance fees

    • Support company wide technology rationalization initiatives and associated cost saving targets

  • Vendor Management Processes:

    • Design, implement and manage processes around vendor management that meet stakeholder expectations with regards to quality and speed.  

    • Ensure compliance to internal financial management and budgeting processes in alignment with corporate policy

  • IT Asset Management Processes:

    • Define, implement and manage processes for tracking software and technology related hardware assets throughout their full lifecycles

    • Ensure compliance with vendor contracts

REQUIRED QUALIFICATIONS:

  • Bachelor’s degree in Business Administration, Information Technology, Supply Chain or related discipline or equivalent work experience

  • At least 8 years of IT procurement, vendor and contract management experience in a multinational corporate environment following global best practices

  • At least 4 years of people management experience including leading and mentoring IT vendor management and IT asset management professionals (employees as well as contractors)

  • Successful track record developing and negotiating complex contracts across all IT disciplines (telecom, infrastructure, business systems, end user computing, cloud, Digital/IOT) and building strong partnerships with strategic suppliers.

  • Extensive knowledge of vendor management best practices (performance management, risk, compliance and vendor audit processes).

  • Extensive knowledge of IT asset management best practices and proven experience

  • Experience using and supporting enterprise procurement and vendor management systems (experience with Ariba is a plus)

  • Experience developing and presenting executive reports around vendor spend and performance to senior leadership teams

  • Collaborative team player – Should be able to establish solid working relationships with internal and external stakeholders 

  • Excellent verbal and written communication skills, including the ability to explain technical contractual aspects to senior leaders and across different cultures.

  • Ability to work in a fast paced environment – Should be able to multi-task with proven follow-through and adherence to changing priorities and deadlines
