The US Benefits Administration Coordinator will provide advice and support to Domtar Employees and HR Business partners on the benefits administration platform, benefit plan guidelines and procedures. In addition, the Coordinator will collaborate with multiple third party providers and the Center of Expertise to ensure the quality of service provided for all US Benefits offerings.
Oversee the administration of US Health & Welfare benefit plans, including medical, prescription, dental, vision, spending accounts, life and disability through the use of third party providers.
Collaborate with COE US Benefits Advisor, Payroll and Accounting and HRIS departments as needed in the execution of compliance, operational audits, data analytics and complex benefits administration activities.
Resolve complex benefit escalations via email, telephone, and other communication means that require detailed investigation.
Develop process documentation and reference documents for all aspects of US Benefits data and administration.
Responsible for reviewing invoices, monthly/quarterly reconciliation and funding processes.
Execute compliance, operational audits and data analytics as it relates to transactional activity.
Responsible for the development and testing of weekly, monthly data exchange files with all US vendors as needed.
Support third part management of COBRA and life claim processes.
Monitor third party activities to ensure quality service and timely issue resolution.
Monitor vendor transactions for errors and identify potential corrections.
Lead administration projects, including vendor coordination and testing.
Participate in annual, optimization and team projects as required.

College or University degree or equivalent work experience
3+ years of experience US Benefits Administration program, including vendor management, invoice management and carrier reconciliations.
3+ years of proven technical experience with HRIS systems and processes, interfacing with SAP, Easy Vista or similar shared service systems preferred.
Advanced proficiencies in Microsoft Office (Excel, Work and PowerPoint); knowledge in Outlook required. Specifically functional experience with pivot tables and VLOOKUPs.
Proven success building trust and demonstrating benefits/operations expertise in phone/email environment.
Strong organization and time management skills with demonstrated understanding of time-sensitive work prioritization.
